Administrative Assistant

About the Role

ArcLedge Inc. is seeking a proactive and highly organized Administrative Assistant to join our team. Reporting to the Senior Manager of Business Operations, this individual will play a crucial role in ensuring smooth day-to-day operations by providing administrative, office, and team support. The ideal candidate will have strong problem-solving skills, the ability to handle sensitive and confidential information with discretion, and the flexibility to adapt to evolving business needs. This role is 100% in-person at our NYC office. 


Key Responsibilities

  • Frontline Communication – Serve as the first point of contact by answering and directing calls, taking accurate messages, and ensuring timely follow-ups. 
  • Correspondence Management – Handle all incoming and outgoing mail and packages, ensuring accurate sorting, distribution, and prompt delivery. 
  • Financial Processing – Process and deposit checks while maintaining detailed and accurate records. 
  • In-Person Deliveries – Conduct on-site deliveries to clients or team members as needed. 
  • Office Organization & Maintenance – Maintain a well-organized and efficient workspace by monitoring inventory, managing file organization, and ensuring a clean and inviting office environment. 
  • Building Liaison – Act as the primary contact for building management, coordinating services to support office operations. 
  • Payment Oversight – Assist in managing the payment approval process, ensuring accuracy, compliance, and timely submission. 
  • New Hire Onboarding – Support onboarding by preparing necessary materials and coordinating technology setup for new team members. 
  • Meeting & Event Coordination – Assist in planning and executing company-wide meetings, training sessions, and special events, including managing company gifts.
  • Document & Database Administration – Ensure consistency and accuracy in team documents, including organizational charts and client databases. Assist with the set-up and removal of clients in relevant tech systems. 
  • Task Management & Reporting – Maintain updates in the company’s task management system and client databases while generating team reports, including billing reports. 
  • Process Improvement – Identify opportunities for efficiency improvements and implement streamlined procedures. 
  • General Support & Special Projects – Provide administrative assistance and contribute to ad hoc projects as needed.

Requirements

  • Can work full-time, in-office, Monday through Friday during standard business hours. 
  • Bachelor’s degree or equivalent work experience 
  • 5+ years of experience in administrative or executive assistant support roles 
  • Proficient in MS Office Suite, Google Suite, and Zoom
